After the Festival: Planning Your Clinic for the Return Rush

A long hospital corridor, with the title The festival is planned for, the week after is not

Most clinics plan for the festival itself: holiday hours, cover rosters, a notice on the door. Far fewer plan for the week after. Yet that is often when the front desk is busiest.

Patients who postponed appointments, held off on follow-ups or waited for family to return all arrive together. For hospital and clinic owners and administrators, a short plan made now can turn that rush into a manageable week.

Know what is waiting

Before the festival ends, list what has built up:

  • Appointments postponed or cancelled during the holiday
  • Follow-ups that fell due while the clinic ran reduced hours
  • Reports and test results that arrived late and need review
  • Repeat prescriptions due for renewal

If these live in registers, phone notes and memory, the list takes hours to build. If they live in one system, it takes minutes. That difference is worth noticing.

Spread the return, do not wait for it

Contact patients in waves rather than letting everyone arrive on the first working day. Prioritise those with time-sensitive follow-ups, then offer slots across the week to the rest. A reminder with a specific time works far better than an open invitation to come back whenever convenient.

Staff for the peak, not the average

Check who is actually back. Festival leave often stretches into the following days, so confirm cover for the first three working days. Consider extending reception hours or adding a temporary slot for walk-ins, so the queue does not overwhelm the consultation rooms.

Protect the front desk

The front desk takes the first impact. Give staff a short script for the common questions, such as whether the doctor is available, how to reschedule and where reports can be collected. Fewer improvised answers mean fewer mistakes and shorter waits.

Review it afterwards

At the end of the week, look at the numbers: how many appointments were rebooked, how long patients waited, how many follow-ups were still missing. Keep the notes. Next year's plan starts from this year's evidence.

A calmer return

A festival is a predictable event. The surge that follows it is predictable too. With records, appointments and reminders in one place, administrators can see the backlog, contact patients in order and keep care continuous.
