The Festival Season Checklist for Clinics: Keep Follow-Ups From Slipping

Clinic reception desk with a waiting area

Holidays do not only close your doors. They change patient behavior in the weeks around them, and the gaps rarely show up until a follow-up is missed.

The pattern many clinics see

Before a major festival, patients try to book early. During it, staff take leave and the schedule thins out. Afterward, there is a backlog, and anything that fell due while the clinic was closed is easy to lose.

A festival-season checklist

Two weeks before

  • List who is on leave and when, doctors and front desk alike
  • Assign cover for each doctor's patients, with records they can open
  • Publish holiday hours where patients will see them: front desk, website, reminders

One week before

  • Pull every follow-up falling due during the closure and contact those patients early
  • Offer earlier or later slots, rather than leaving the choice to chance
  • Confirm that reminders are scheduled for the days you are closed

The week of return

  • Review follow-ups that came due while you were closed
  • Call patients who missed a visit, instead of waiting for them to come back
  • Check the backlog of records and pending items

Questions to answer before you close

  • Can the covering doctor see the full history without searching?
  • Does anyone own the follow-up list during the break?
  • Will patients hear from you before the holiday, or find out at the door?

Make the plan hold without extra effort

A checklist works only if the information behind it is in one place. OneHealth Digital keeps patient records, appointments, reminders and follow-ups together, so a covering doctor sees the same picture, and a holiday does not turn into a gap in care.
